NSF Travel Grant Awardee,
Congratulations on being selected for a partial travel grant to attend the SCAR/IASC 2008 IPY Conference to be held in St. Petersburg, Russia from July 8 - 11, 2008.
You are authorized to file for reimbursement of costs directly related to your attendance at the conference not to exceed the amount of your travel award as stated in your award email. Any expenses beyond this amount are the responsibility of the traveler.
You are responsible for making your own travel arrangements, visa application, registering, and arranging local accommodations. Instructions and assistance are available at the conference web site.
In order to file for reimbursement, all supporting documents must show a zero balance. You must have receipts for all items you are claiming for reimbursement.
If you file for reimbursement of airfare, you must fly via an U.S. Flagged Carrier or their code share partners, if available. A paid invoice for the airline ticket showing a zero balance must be provided. You must also provide the original boarding pass. If you book through an online service, you must provide proof that the fare was paid, such as a copy of your credit card statement. We will be unable to reimburse you for expenses that are not properly documented.
Travel advances are not available.
If you are an U.S. citizen, you must fill out a W-9 form. If you are a foreign national, you must fill out a W-8 form, provide a copy of your visa and complete the certificate of foreign status form.
